Introduction

This privacy policy applies to the myndeo.com website and all of its sub-domains. It describes how KEYWEO COMMUNICATION S.L. collects and processes your personal data, the rights you have over that data, and how we use cookies.

We aim to write it in plain language. If anything is unclear, write to us and we will get back to you.

General data collection and management principles

In accordance with Article 5 of Regulation (EU) 2016/679 (GDPR), your data is:

  • processed lawfully, fairly and transparently;
  • collected for specified, explicit and legitimate purposes, and not further processed in a manner incompatible with those purposes;
  • adequate, relevant and limited to what is necessary for those purposes (minimisation);
  • kept for a limited period, no longer than is necessary for the purposes pursued;
  • processed in a way that ensures its integrity and confidentiality.

Processing is lawful only if it relies on at least one of the following legal bases:

  • your consent;
  • performance of a contract or pre-contractual steps;
  • compliance with a legal obligation;
  • protection of the vital interests of a person;
  • performance of a task carried out in the public interest;
  • the legitimate interests pursued by the controller.

In our case, processing relies on your consent (you write to us voluntarily) and on our legitimate interest in answering your enquiry and developing our business with professional clients.

Data collected while browsing

Data collected and how it is collected

The website asks you for no data in order to browse it. Data is collected only when you voluntarily fill in our contact form (information request, quote request, newsletter sign-up, which points to that same form). We then collect:

  • your name;
  • your email address;
  • your company name (optional);
  • the subject of your enquiry and the message you write;
  • the page your enquiry was sent from, so we can put your message in context.

We do not collect special category data within the meaning of Article 9 of the GDPR, and we carry out no profiling and no automated decision-making. Like any web server, the one hosting the website records connection logs containing your IP address, for security and technical purposes.

If you send us someone else's data, you must have obtained their agreement beforehand.

Purposes

  • answering your enquiry and managing our exchanges;
  • sending you a quote or a commercial proposal;
  • sending you our news and updates, where you have consented to this;
  • producing aggregated statistics and running the website.

Retention period

Your data is kept for 3 years from our last contact, then deleted. Data required to meet a legal obligation (accounting, invoicing) is kept for the period set by law.

Recipients and transfers to third parties

Your data is accessible to the teams at KEYWEO COMMUNICATION S.L. handling your enquiry. It may be passed to our tools and processors (email, CRM, invoicing and accounting), which act on our instructions and are bound by confidentiality.

Your data is never sold, rented or passed to third parties for advertising purposes.

Hosting

The website is hosted in Switzerland by INFOMANIAK NETWORK SA, 26, av. de la Praille, 1227 Carouge, Genève, Suisse. Switzerland is covered by an adequacy decision of the European Commission: your data benefits there from a level of protection recognised as equivalent to that of the GDPR.

Data controller

The data controller, meaning the entity that determines the purposes and means of the processing, is KEYWEO COMMUNICATION S.L., whose registered office is at Calle de Roger de Llúria 44, Planta 5, 08009 Barcelona, España. For any question about your data, you can write to our data protection officer at dpo@keyweo.com.

Our commitments

  • protecting the confidentiality and security of your data;
  • not passing it to third parties without informing you;
  • honouring the purposes for which it was collected;
  • informing you if your data is rectified or deleted, unless doing so requires disproportionate effort;
  • informing you of any data breach likely to affect its integrity or confidentiality.

Your rights

Under the GDPR, you have the following rights:

  • right of access: to confirm whether your data is being processed and receive a copy of it;
  • right to rectification: to have inaccurate or incomplete data corrected;
  • right to erasure: to ask for your data to be deleted;
  • right to data portability: to receive your data in a structured, machine-readable format;
  • right to restriction and right to object: to object to the processing, which we cannot refuse unless there are compelling legitimate grounds;
  • right not to be subject to automated decision-making producing legal effects or significantly affecting you;
  • right to decide what happens to your data after your death.

To exercise these rights, write to dpo@keyweo.com stating your first name and surname, your email address and proof of identity. We reply within a maximum of 30 days.

If you consider that your data is not being processed lawfully, you may lodge a complaint with the Spanish supervisory authority, the Agencia Española de Protección de Datos (www.aepd.es), or bring the matter before the competent court.

Cookies

A cookie is a small file placed on your device when you visit a website. It can be used to make browsing easier, to measure audience or to personalise advertising. Cookies that are not strictly necessary for a website to function require your prior consent, valid for a maximum of 13 months.

Current state of the myndeo.com website:

  • Strictly necessary cookies: a session cookie is placed when you use the contact form (to keep what you have typed and to protect the form against fraudulent submissions) and when logging in to the back-office. It contains no personal data and expires when you close your browser. It cannot be disabled, as the service would no longer work.
  • No other cookies: the website currently places no audience measurement, third-party functionality or personalised advertising cookies, and embeds no third-party tracker. This is why no consent banner is shown to you.

Should we one day add an audience measurement tool or a third-party service, this page will be updated and your consent will be requested before anything is placed.
